Who we are and what this policy covers
Tristar Immigration is the service brand operated by Tristar Infinity Services LLP. We provide passport, visa and immigration consultancy, application preparation, document coordination, travel support and related services.
This policy applies when you enquire about a service, request a consultation, become a client, visit our Bangalore headquarters or communicate with our team. It also applies when an authorised family member, employer or representative contacts us for you.
Information we may collect
The information needed depends on the destination, application category and service you request. We aim to collect only what is reasonably required for the enquiry or agreed work.
- Identity and contact details, including your name, phone number, email address, address and preferred communication channel.
- Travel and immigration information, such as nationality, passport details, travel history, intended destination, purpose of travel and previous applications or refusals.
- Education, employment, language-test, financial, family and dependant information relevant to a visa, study, work or immigration assessment.
- Copies of forms, photographs, passports, civil records, qualifications, employment records, financial evidence and supporting documents you choose to provide.
- Consultation notes, messages, call or meeting details, service instructions and records of work completed for your file.
- Payment references, invoices and transaction confirmation. We do not ask for your OTP, UPI PIN, card PIN or online-banking password.
- Basic website and device information produced when the site, forms or analytics tools are used.
How information reaches us
Most information is provided directly by you through a form, consultation, message, document upload or office visit. We may also receive information from a person you authorise, a service provider involved in your case or an institution or authority where you have asked us to coordinate.
If you provide information about a spouse, dependant, employee or another person, you are responsible for ensuring that you are permitted to share it and that the person understands how it will be used.
Why we use information
We use information to operate the consultancy and deliver the service you request.
- Respond to an enquiry and understand your destination, purpose, eligibility questions and timeline.
- Prepare a consultation, preliminary profile review, document list, quotation or service agreement.
- Review forms and supporting records for missing, inconsistent or outdated information.
- Coordinate appointments, tests, translations, attestations, insurance, travel documentation or other agreed support.
- Communicate about deadlines, document requests, payments, invoices and progress.
- Maintain business, service, security and compliance records and prevent misuse or fraudulent submissions.
- Improve our website, enquiry handling and client service using appropriately limited operational information.
Immigration files and sensitive documents
Passport copies, refusal letters, financial records, employment records and family documents can contain sensitive information. Share only the pages and records requested for the agreed review, and use the official channel confirmed by your Tristar advisor.
Do not send passwords, one-time passwords, UPI or card PINs, or complete payment-card credentials. Before sending an original document, confirm whether an original is actually required, who will hold it and how it will be returned.
When information may be shared
Information is available only to team members and service providers who need it for the enquiry, administration or agreed work. Depending on your instructions, this may include hosting and communication providers, payment and invoicing providers, translators, couriers, document-processing partners, insurers, education or testing partners and professional advisers.
Where you ask us to assist with an application or booking, relevant information may be submitted to an embassy, consulate, immigration authority, visa application centre, educational institution, employer, test provider, insurer or other receiving organisation. Each recipient controls its own systems and privacy practices.
We do not sell client documents or contact details as a marketing list. Information may also be disclosed when required by applicable law or to protect clients, Tristar or others from fraud, misuse or harm.
International processing
Visa and immigration work is international by nature. Information may need to be sent to a foreign authority, institution, employer or service provider in the country connected with your application. The recipient country may apply different privacy and record-retention rules.
We limit a transfer to the information reasonably needed for the instructed task and use the channel made available by the relevant recipient or provider.
Website, cookies and external services
The website may use essential storage, analytics and advertising or enquiry-measurement tools to understand visits, maintain security and improve campaigns. These tools may receive technical information such as browser type, device type, pages viewed, approximate location and referring page.
Links to government portals, payment services, WhatsApp, social media and other external websites are provided for convenience. Their privacy terms apply when you use those services.
Retention and security
We keep records for as long as reasonably required to answer an enquiry, deliver and document a service, manage disputes, meet accounting or legal obligations and maintain appropriate business records. Different records may have different retention periods.
We use reasonable administrative, access and technical safeguards appropriate to the information and service. No email, messaging platform, online portal or storage system can be guaranteed completely secure, so clients should also protect their devices and account credentials.
Your choices and requests
Subject to applicable law and any record we are required to retain, you may ask what personal information we hold about you, request a correction, update your communication preference or ask us to delete information that is no longer required. You may also withdraw a consent previously given, although this can limit our ability to continue the requested service.

Children, dependants and authorised representatives
Applications may include children or dependants. A parent, legal guardian or properly authorised representative should provide instructions and approve the use of their information where required.
We may ask for proof of authority before discussing a file with a relative, employer, agent or other representative.
Policy updates and privacy questions
We may update this policy when our services, technology or legal obligations change. The revised date will be shown on this page. Material engagement-specific changes will be communicated where appropriate.
